Terms of service

Version 1.0 — July 2026

These terms govern use of the Varyxis platform and this website, operated by Varyxis Technologies. By creating a workspace or accepting an invitation you agree to them on behalf of yourself and, where applicable, your organisation.

1. The service

Varyxis is a hosted, multi-tenant recruitment platform. Each customer receives an isolated workspace. Features available to you depend on your subscription plan, add-ons and licence assignments.

2. Accounts and security

You are responsible for the accuracy of your account details, for keeping credentials confidential, and for activity under your users' accounts. We strongly recommend enabling multi-factor authentication. Notify us promptly of any suspected compromise at security@varyxis.co.uk.

3. Your data

You retain all rights to the data you store in Varyxis. We process it only to provide the service, under our privacy notice and the data processing agreement accepted at sign-up. You can export your data at any time, including during read-only and cancellation periods.

4. Acceptable use

You agree not to: use the service unlawfully (including breaches of data-protection or employment law); send spam; upload malicious code; attempt to access another customer's workspace; resell the service without an agreement; or use platform AI features to make automated decisions about individuals without human review.

5. Subscriptions, trials and billing

Trials convert only when you choose a paid plan. Paid subscriptions bill per licensed user in advance and renew automatically until cancelled at period end. Prices exclude VAT. If payment fails we apply a grace period and may then restrict the service — we do not delete customer data because of payment failure.

6. Suspension and termination

We may suspend workspaces for material breach, security risk or unlawful use. On cancellation, data remains exportable for the retention period stated in your agreement, after which it is deleted under our documented deletion workflow. Backup copies expire on a fixed schedule.

7. Availability and support

We operate the service with commercially reasonable skill and care, maintain backups, and publish maintenance notices in advance where practicable. Support levels depend on your plan.

8. Intellectual property

The platform, its design and the Varyxis brand remain the property of Varyxis Technologies. We claim no ownership of your data or your own branding used within your workspace.

9. Liability

Nothing in these terms excludes liability that cannot be excluded by law. Otherwise, the service is provided on an "as available" basis and our aggregate liability in any 12-month period is limited to the fees you paid for that period.

10. Changes and governing law

We version these terms; material changes require re-acceptance in the platform. These terms are governed by the laws of England and Wales.

These terms are a working v1 prepared for launch and will be reviewed by legal counsel before commercial general availability.
